General responsibilities and role assumptions:

The role of an programme support assistant in our Mexico office will give you a close insight into the day-to-day running of an international business. We are a relatively small business, so you will be welcomed as part of the family and able to enjoy a friendly working atmosphere. We are looking for someone to help organise and run our existing programme in addition to planning for future programmes.

We have 5 main areas of the role that we’ll ask you throughout the application process of what you’re interested in, which are: managing accommodation, business development, marketing, events management and administration. A summary of the duties can be found in the internship description below.

Job Description:

  • Answering participant enquiries and problem solving
  • Offering recommendations for restaurants, activities, trips and sites to visit in and around Mexico City
  • Contacting landlords, landladies, cleaners and handypersons to help maintain participant apartments
  • Researching accommodation options for foreigners in Mexico City
  • Helping to research and reach out to potential internship companies in Mexico City
  • Offering advice on safety and local information regarding changes in the city that might affect participants
  • Creating resources in English for participants that will help with professional development, cultural understanding of Mexico
  • Help take photos, footage and record content for social media platforms about the programme and the participants
  • Give advice on how to get around the city and where to buy things
  • Prepare and send out emails, newsletters and update internal admin systems for the programme
  • Attend networking events, prospect and meet with potential internship host companies in Mexico City

Requirements:

  • Fluent Spanish and a good level of spoken and written English
  • Student or recent graduate
  • Students on business or language courses, but applicants with any degree program will be considered
  • Tech savvy. Able to use office software effectively
  • Familiar with all main social networking sites
  • Hard-working, committed and a fast learner
  • An insider’s knowledge of Mexico City
  • Problem solving and critical thinking
  • A passion for Mexican food and culture is a must!
  • Any prior knowledge of WordPress, PowerPoint (or design software) would be beneficial
  • A passion for photography, filming and documenting life would be beneficial
  • An interest in learning more about digital marketing
  • Experience working with tourists or students would be useful (or an interest in doing so!)
  • Flexibility with regards to working hours

What’s Included:

  • The 2-month full time job located at our Mexico City office from July 2019 to September 2019 (immediate start date open for discussion)
  • Monday to Friday working hours with additional overtime for weekend activities

We are looking for a recent graduate with experience living in the UK. Our ideal candidate is a Chinese national with significant understanding of international student life and western students’ mindset. We will also consider a non-Chinese candidate who qualifies for the China residents permit and fulfils our requirements for the role.

Responsibilities

  • Provide pastoral support to participants on InternChina programmes in Chengdu, being available 24 hours for significant emergencies when necessary
  • Deliver thorough and enthusiastic orientation sessions for new arrivals on InternChina programmes
  • Ensure professional internship and accommodation related support is provided in a structured manner throughout all participants’ programmes in Chengdu
  • Programme development (Chengdu); Identifying new internship opportunities, visiting prospective partner companies and networking in order to develop opportunities in Chengdu
  • Office management; ensuring smooth day-to-day operations in Chengdu and motivating the team
  • Chengdu group programme planning, oversight and follow-up
  • Recruiting and supporting local staff to provide quality accommodation for Chengdu programmes
  • Managing IC office interns
  • Staff training
  • Manage office finances; handle cash, payments and accounting
  • Enquiry and booking administration, managing the participant placement process for Chengdu
  • Create occasional press releases and blog posts
  • Assist the team in producing social media content
  • Consult with the management team on overall strategy and general management issues
  • Travel within China where required to meet with colleagues in other branches, assist with delivery of group programmes and oversee participant group trips

Our Offer

Job Description

  • Identify, approach and follow up with potential new internship providers and business corporate partners.
  • Visit prospective partner companies; discuss different aspects of Pagoda Projects programmes, outline clearly our goals and objectives, review internship positions and health and safety standards whilst developing exciting new internship opportunities.
  • Attend regular networking events and discuss with Branch Manager beneficial new memberships or networking opportunities.
  • Build excellent rapport with partners in order that they are willing to support Pagoda Projects programmes in other areas (e.g. employability programmes, workshops, company visits etc.)
  • Develop relationships with Ho Chi Minh City universities that are willing to support Pagoda Projects programmes.
  • Negotiate long term placements and graduate employment positions with host company partners and develop new revenue streams for the business.
  • Support our management team by performing necessary administration and visiting government departments in relation to company registration and tax regulations in Vietnam.
  • Assist with visa extensions and new visa applications for our staff and participants in HCMC and keep the Branch Manager up to date on recent Vietnam visa regulations and changes.
  • Assist with the management, training and supervision of internal office interns particularly within the area of business development and partner relations.
  • Effectively and diligently update the internal CRM system with current and prospective business partners and feedback regularly to the Branch Manager on progress.
  • Handle and record day-to-day expenses, personal admin and manage expenses in line with budgets set out by the Branch Manager.
  • Support daily branch operations within ‘peak season’ (e.g. airport transfers, host company introductions, weekly dinners).
  • Support the Ho Chi Minh City Programmes Assistant when required (e.g. when taking annual leave) with issues or tasks requiring local language skills.
